Templates - Entire Apps Done For You

Fourteen ready-made databases (CRM, Knowledge Base, Expense Tracker, Hiring, Support Desk, Contracts, Risk Register, Content Calendar, Staff Directory, Budget vs Actual, Project Delivery, New Starter Onboarding, Training Courses, Events): open one, Duplicate it, and it is yours.

Overview

You don't have to design a database from a blank page. Sapience comes with fourteen ready-made database templates, each built for a common job: running sales, a help desk, hiring, suppliers, risks, marketing, a staff directory, a knowledge base, budgets, client projects, new-starter onboarding, training, events or your own spending. Every template arrives with linked tables, useful saved views (filtered, sorted and grouped ways of looking at a table), a form other people can fill in, and realistic example entries, so you can see how it works before you change a thing.

A template itself is read-only and shared with everyone on Sapience. When you find one you like, you Duplicate it. The copy is yours alone, private and fully editable, and you can keep the example entries to learn from or start completely empty.

These templates show the power of Sapience Databases, in many cases shipping entire applications for you to use out of the box, or customize further so they’re tailored to your company.

What Happens Behind the Scenes

  1. You browse. Templates sit alongside your own databases, so finding one is just a filter away.
  1. You explore read-only. Open any table, switch views, open entries. Nothing you do can change the template, and any edit you try is politely refused.
  1. You Duplicate. Sapience makes a brand-new database that belongs to you, with the same tables, columns, links, saved views and form.
  1. You choose the contents. Keep Copy records too ticked and the example entries come with you. Untick it and you get the same structure with no entries, ready for your real data.
  1. You make it yours. Rename it, add or remove columns, change the views, add your entries, and share it with your team. Your copy has no connection back to the template.

Finding the Templates

There are two ways in:

Where
What you do
Databases page
Choose the Templates filter. Every template is listed as a card.
Menu ▸ Manage ▸ Templates
One list of every template you can use (projects, notes and databases), grouped by who it belongs to: you, your organization, or everyone on Sapience.

Open a template to look around. Each table opens on its default view, and the views drop-down shows every saved view that comes with it.

Making Your Own Copy

  1. Open the template you want.
  1. Choose Duplicate from the database's actions.
  1. In the Copy dialog, the name starts as the template's name followed by "— Copy". Change it to whatever you like.
  1. Decide on Copy records too:
Copy records too
You get
Ticked (the default)
Everything, including the example entries. Best for learning how the template works.
Unticked
The same tables, columns, links, saved views and form, with no entries. Best when you are ready for real data.
  1. Your copy opens. It is private to you until you share it.
Template: Hiring Pipeline (read-only, shared with everyone)
Your copy: Hiring Pipeline — Copy (yours: private, every part editable)
A template's form has no public link. Once you have your own copy, its form is yours to share with the people who should fill it in.

Good to Know

  • Money is in US dollars in every template that tracks amounts.
  • Example entries are fictional. Names, companies, emails (on example web addresses) and phone numbers are made up.
  • Some views use 2026 dates, such as October interviews or Renewals Oct-Dec 2026. In your copy, edit the view's filter to the dates you care about.
  • Owner columns start empty. In the CRM (account and deal owners) and the Knowledge Base (article and topic owners), you assign your own teammates.
  • Each template uses several layouts: boards, calendars, galleries, lists and pivots, as well as the classic table. See Seeing Your Data Your Way: Board, Gallery, List, Calendar and Pivot Views for how each one works.
  • Want something different? You can also ask the Sapience Agent to build a database for you from a plain description (see Creating a Database by Describing It).
