Note Templates

Sapience has out-of-the-box templates, but custom templates are super powerful.

Sapience Note Templates

💡

Throughout Sapience, we prioritize both “sensible defaults” as well as “deep customization” as product philospohies. Because of that, Sapience comes with a series of Note Templates out-of-the-box that we think are helpful, but allows you to create your own to save/re-use your own workflows. For org-admins, this also allows you to push process and structure out to other users.

Built-in Templates

  • When you click any of the ‘Create New Note’ buttons, or use the Alt + N shortcut key (option on Mac), you will be greated by this screen. The 1st option in the list (not shown in this screenshot as its scrolled) is a Blank Note, which is literally that: a blank piece of paper.
  • Note Templates on the other hand are pre-created Notes, that map to common workflows for Sapience Users.
    • These are templates that come with Sapience, and are “global” and “read-only” objects. Org admins can add company-wide templates, and users can add personal.

Built-in Note Templates

  1. Voice Note: use this if you want to jump straight-in to using Sapience Voice. This will start a new empty note, kick-off a Voice session, and all you have to do is click the blue microphone icon to have Sapience start “listening”.
  1. Project Overview: a useful template that mirrors the approach to project management inherant in Sapience Projects. This template includes a RACI, as well as phased timelines, and a basic risk register. This is a useful document to add into any of your Sapience Projects. Remember you can always export a Note to PDF or Word and continue to edit offline.
  1. OKR Planning: a note template following the Google OKR approach popular among tech companies, but great for companies of all types. OKR == “Objectives & Key Results” and is modern thinking that replaces outdated “KPI” management.
  1. Meeting Note: just what it sounds like! A useful template to capture meeting notes and minutes, action items, discussion points and next steps.

Creating Your Own Templates

If you have a workflow you’re proud of or that you use a lot, then you should save it as a template! When you use Sapience, you automatically are given 3 “levels” of templates: Global, Org, and User. Global is published by us (the Sapience team), Org comes from your Org Admin, and User is you! Its simple. On the main page viewer of a Note, in the More menu, click “Save as Template”. That’s it! It will now show up in the New Note dialogue.

Saving your own structures and workflows as a template is easy and highly recommended. Will save you a lot of time over time.
